2024 – 2025 PGSG Election Position Descriptions

OPEN POSITIONS

President: The President of PGSG serves to be the outward face of PGSG to University officials while also coordinating the programming and executive functions of PGSG by leading the other officers of the PGSG Executive Board. It is a demanding but fulfilling and rewarding position. Expand to see specific duties:
  1. Represent the PGSG at official functions and meetings as required.
  2. Attend all meetings of the PGSS and the Executive Board.
  3. Preside over all meetings of the Executive Board.
  4. Organize the agenda of all Executive Board meetings and collect Officer Reports.
  5. Be a non-voting, ex-officio member of all boards, councils, committees, and commissions of the PGSG.
  6. Oversee the Executive Board’s execution of the Senate’s priorities.
  7. Provide information and recommendations to the Senate regarding matters of student welfare and University policy.
  8. With the assistance of the Executive Board and the approval of the Senate, make appointments to University Faculty Senate committees or University Boards.
  9. Oversee and receive reports from delegates to University Faculty committees and University Boards.
  10. With the approval of the Senate, appoint the Parliamentarian.
  11. Be the primary representative of PGSG to university administration and board of trustees and or appoint proxies from within PGSG to represent the President in absentia.
  12. Assist the graduate school in the design of the new graduate student orientation.
  13. Establish the calendar of meetings for PGSS, executive board, and team meetings with assistance from the PGSC Secretary and in accordance with the bylaws governing their acceptable dates.
  14. Be the primary representative of PGSG to the University Senate as defined by University Senate procedure.

Senate Chair: The Senate Chair of the PGSG is responsible for overseeing all matters related to the operation of the PGSG Senate, the legislative voice of Purdue graduate Students. The Senate Chair’s duties involve coordinating Senators across campus, overseeing the operations of Senate meetings, and assisting in all matters that relate to ensuring legislation authored by PGSG members is debated and addressed by the Senate.   1. Attend all meetings of the PGSS and the Executive Board.
  2. Preside over all meetings, distribute all pending legislation and resolutions to members of the PGSS and the Executive board, and publicly disseminate legislation and resolutions as well as their status of passage upon completion of the senate meeting.
  3. Lead the organization of and preside over the annual Senate Workshop with assistance of the President and Parliamentarian.
  4. Organize and disseminate the agenda and collect officer reports for all PGSS meetings.
  5. Provide the Senate Clerk with all materials to be distributed at each PGSS meeting.
  6. Be a non-voting, ex-officio member of all boards, councils, committees, and commissions of the PGSG.
  7. Maintain detailed records of PGSS attendance with assistance from the senate clerk.
  8. Record in the absence of the Senate Clerk and inherit all duties and privileges thereof for the duration of the Senate Clerk’s temporary absence.
  9. The Senate Chair shall have one (1) vote on all business before the Senate, which may be cast only in the event of a tie. Unless expressly asked or able to cast a vote, the Senate Chair shall remain neutral and impartial to all business before the Senate

Treasurer: The Treasurer handles all things related to finances of PGSG. This involves processing reimbursements and payments for the mutlitude of events hosted by PGSG, assisting in the disbursement of grants awarded by PGSG to graduate students, and other matters related to ensuring that PGSG has the finances to best serve the Purdue graduate student body. Expand to see specific duties:

  1. Oversee the annual budget process.
  2. With the assistance of relevant individuals, prepare and disseminate the PGSG Finance Handbook prior to the first meeting of the PGSS.
  3. Provide a budget report at each PGSS meeting.
  4. Attend all meetings of the PGSS and Executive Board.
  5. Keep accounts, deposit the organization’s funds, and make expenditures in a manner approved by the Business Office for Student Organizations
  6. Advise the PGSS on all fundraising and monetary issues.
  7. With the assistance of any relevant committees, ensure the timely review and distribution of any and all grant and grant-like awards administered by the PGSG.
  8. Be a non-voting, ex-officio member of all boards, councils, committees, and commissions of the PGSG.
  9. Provide the VP of Public Relations a report of PGSG spending to be published in the PGSG annual report.
  10. Directly oversee any committee which exists with the express purpose of disseminating money.
  11. Have the power to appoint a deputy with the express purpose of managing and distributing grants.

Chief of Staff: The Chief of Staff oversees all logistics related to the execution of PGSG Teams, which host events across campus for graduate students. Additionally, the Chief of Staff assists the President with managing and leading PGSG and PGSG Officers. Expand to see specific duties:

  1. Advise and assist the President in their duties.
  2. Attend all meetings of the PGSS and Executive Board.
  3. Be a non-voting, ex-officio member of all boards, councils, committees, and commissions of PGSG.
  4. Oversee the appointment of Senators to PGSG committees and teams.
  5. Directly oversee the management of PGSG teams.
  6. Be responsible for the dealings of PGSG members with PGSG matters not directly pertaining to the PGSS.
  7. Assist the President in the collection of Officer and Committee Reports prior to each meeting of the PGSS.
  8. Maintain and enforce attendance of Senators at team and committee meetings.

Public Relations Officer (PRO): The Public Relations Officer serves to amplify the voice and activities of PGSG to ensure that the Purdue graduate student body is aware of and can participate in the variety of activies PGSG hosts. Additionally, the PRO is charged with maintaining a record of the activities and meetings of PGSG. Expand to see specific duties:

  1. Record minutes of all Executive Board meetings.
  2. Attend all meetings of the PGSS and Executive Board.
  3. With the Senate Clerk, maintain an archive of all correspondence and minutes.
  4. Make wide and known the mission, values, and activities of the PGSG but shall make decisions with consultation from the President and Executive Board.
  5. Facilitate communication within PGSG, such as managing messaging platforms.
  6. Facilitate communication with the broader public, such as managing the website, social media, and maintaining templates for letterhead and flyers.
  7. With the assistance of designated committee and team correspondents, promote and publicize PGSG and its events using all available and appropriate media of communication including the PGSG website and social media outlets.
  8. Prepare and disseminate a PGSG Annual Report including, but not limited to, reports of PGSG spending, activities and accomplishments.
  9. Have the power to appoint two (2) deputies with the express purpose of interfacing the office of PR with non-senate PGSG events, activities, and goings on.
  10. Serve as a member of relevant community boards and committees.

Legislative Affairs Officer (LAO): The Legislative Affairs Officer serves to coordinate and advocate for PGSG goals to local, state, and national governmental officials while also ensuring that PGSG is apprised of happenings at these legislative levels as well that directly impact graduate students and graduate student activities as a whole here on Purdue’s campus. Expand to see specific duties:

  1. Facilitate communication of Indiana State, local legislative affairs, and federal legislative affairs that have impact on graduate students or graduate education.
  2. Engagement with Purdue lobbyists at the municipal, state, and federal level
  3. Participate, at minimum, in an annual trip to both the Indiana Statehouse and Washington D.C. for active legislative engagement on behalf of the interests of graduate students and graduate education at Purdue.
  4. Attend all meetings of the PGSS; serve on the Executive Board as a voting member.

Diversity Officer: The Diversity Officer serves to coordinate, ensure, and improve representation of the diverse student populations at Purdue in all PGSG activities. Additionally, the Diversity Officer serves as the PGSG liaison to various offices and organizations at Purdue aimed at increasing representation at Purdue University. Expand to see specific duties:

  1. Facilitate communication between PGSG, graduate students, cultural and identity focused graduate student organizations, and Diversity and Inclusion resources on campus.
  2. Meet with at minimum biannual frequency with the Vice Provost for Diversity and Inclusion, directors of the campus cultural centers, CILMAR, Office of Graduate Diversity Initiatives, and Purdue Student Government Director of Diversity and Inclusion
  3. Serve as the PGSG representative to the University Senate Equity and Diversity Committee and the Graduate School Diversity Committee
  4. Serve as chief PGSG liaison in follow-up of the Campus Climate Survey to be conducted by the Office of the Provost.
  5. Attend all meetings of the PGSS; serve on the Executive Board as a voting member.

Senate Clerk: The Senate Clerk is NOT an officer of the Executive Board, but rather an officer of the PGSG Senate and is elected at the same time as other offices. The Senate Clerk oversees the logistics of the record of the PGSG Senate (PGSS). Specifically, the Senate Clerk takes detailed minutes at every meeting of the PGSS, handles logistics of coordinating senator attendance with the Senate Chair, and spearheads the finalization of authoritative Senate documents once passed by the PGSS.   1. Serve as the recorder of the Senate.
  2. Prepare minutes of all meetings of the PGSS, which shall be made available to all members of the PGSG.
  3. Maintain an archive of all resolutions and bills and minutes with the aid of the VP of Public Relations.
  4. Prepare and organize all handouts for distribution at meetings of the PGSS.
  5. Assist the Senate Chair in organizing the annual Senate Workshop.
  6. Complete and deliver all necessary documentation to the appropriate offices
